    1. Introduction

    Essay-Trainer ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

    2. Information We Collect

    Account Information: When you create an account, we collect your email address and password (stored securely using hashing). We also collect your account type (student or parent), and for student accounts, your academic level (Grade 5 through College/University).

    Child Profile Information: For parent accounts, we collect the names and grade levels of any child profiles you create.

    Writing Content: We collect and store the essays you submit to receive AI-powered feedback, including any revisions you make.

    Usage Data: We track your usage of the Service, such as when you request feedback, which features you use, and how you interact with the platform.

    Writing Session Activity: When you use the essay writing and revision features, we record session-level activity to power the Writing History feature. This includes: timestamps of editing sessions, word-count snapshots as drafts progress, the count of paste events (metadata only — we do not collect the content of what was pasted), and section navigation events. No individual keystrokes or clipboard content are recorded. This data is used solely to generate your Writing History, which you may view for any completed essay. This collection applies to all accounts, including child profiles managed under a parent account.

    Writing Process Record Sharing: From your Writing History page, you may voluntarily generate a time-limited shareable link (a "Writing Process Record") to share a structured summary of your writing process with teachers, tutors, or other parties of your choosing. This link provides read-only, unauthenticated access to a summary of editing activity (timestamps, word counts, revision counts, and A.I. coaching usage). It does not expose your essay text or clipboard content by default. When generating a link, you may optionally choose to include the student's initial draft text — the writing submitted before any A.I. coaching feedback was applied. This must be explicitly opted into each time a link is created and is not enabled by default. Shared links expire automatically after 30 days. You may revoke any shared link at any time from your account. Essay-Trainer does not record the identity of, or any information about, anyone who views a shared link. For parent accounts: when you share a Writing Process Record that relates to a child profile, you are responsible for choosing who receives access to that record.

    Technical Data: Our authentication provider (Supabase) automatically collects technical information including IP addresses and browser information for security purposes when you sign in or use the Service.

    3. How We Use Your Information

    We use the information we collect to:

    • Provide, maintain, and improve the Service
    • Generate AI-powered writing feedback and suggestions
    • Process your requests and transactions
    • Send you service-related communications
    • Monitor and analyze usage patterns
    • Detect, prevent, and address technical issues
    • Allow authorized personnel to access usage data and your writing content for service improvement, quality assurance, and troubleshooting; such access is restricted and used only for those purposes
    • Comply with legal obligations

    4. AI Processing and Third-Party Services

    AI Service Providers: To provide AI-powered feedback, we use third-party AI services (including OpenAI, with Anthropic Claude as fallback). Your writing content may be processed by these services to generate feedback. These providers are contractually obligated to protect your data and use it solely for providing the Service.

    Data Storage: Your data is stored securely using Supabase, a cloud database service. We use industry-standard encryption and security measures to protect your information.

    5. Data Security

    We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

    6. Data Retention

    We retain your personal information and writing content for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time. Upon account deletion, we will delete or anonymize your personal information, except where we are required to retain it by law.

    Writing Session Activity retention: Writing session activity records (edit timestamps, word-count snapshots, section navigation events, and paste event counts) are retained for 12 months from the date the associated essay was created, or until you delete the essay, whichever comes first. After 12 months, these records are automatically and permanently deleted. Deleting an essay immediately deletes all associated activity records.

    7. Your Rights and Choices

    You have the right to:

    • Access and review your personal information
    • Correct inaccurate or incomplete information
    • Request deletion of your account and data
    • Export your writing content
    • Opt out of certain data processing activities
    • Withdraw consent where processing is based on consent

    To exercise these rights, please contact us through the Service or use the account settings in your profile.

    8. Children's Privacy

    The Service may be used by users under the age of 13 only with verifiable parental consent, in alignment with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information from children under 13 without such consent. Parents or guardians may review, request deletion of, or refuse further collection of their child's information. If you believe we have collected information from a child under 13 without parental consent, please contact us immediately.

    9. International Data Transfers

    Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. By using the Service, you consent to the transfer of your information to these countries.

    10. Changes to This Privacy Policy

    We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
